Facilities Manager
Role Summary
The Facilities Manager ensures the SOLS Energy office is safe, functional, well-maintained, and operationally ready at all times. This is a hands-on, ownership-first role that owns the physical environment of the workplace, from infrastructure and equipment to vendor relationships and compliance.
In this role you will:
- Maintain the cleanliness, safety, and presentation of the office, conducting regular walk-throughs to spot and resolve issues.
- Oversee office layout, space planning, and any renovation or reconfiguration works, and manage supplies, furniture, and equipment.
- Coordinate all maintenance including electrical, plumbing, HVAC, and structural upkeep, with a preventive maintenance schedule to minimise downtime.
- Track all assets in an up-to-date register and liaise with building management and landlord on lease-related matters.
- Ensure compliance with Malaysian health, safety, and fire regulations, and maintain emergency preparedness plans.
- Source, negotiate, and manage external service provider contracts, holding vendors accountable to agreed service standards.
- Process invoices and manage facilities-related spend within the approved budget.
- Champion a zero-waste culture, monitor utility usage, and implement recycling and energy-saving initiatives.
- Maintain a facilities tracker, provide weekly updates to the Operations Director, and build repeatable SOPs for recurring tasks.
To be shortlisted for this position, you will need to have:
- Minimum 3 years of experience in facilities management, building management, or a related operations role.
- Proven ability to manage vendors, negotiate contracts, and hold service providers accountable.
- Strong understanding of building systems including electrical, HVAC, plumbing, and general maintenance.
- Knowledge of Malaysian occupational safety and health (OSH) regulations and fire safety requirements.
- Highly organised with the ability to manage multiple priorities simultaneously.
- Self-starter with a strong ownership mindset, able to identify and resolve problems without being asked.
- Proficient in Microsoft Office or Google Workspace for reporting and documentation.
- Strong communication skills in Bahasa Malaysia and English.
